What is the stamp feature for?

Purpose of the article
Archiving emails on your document management system is tedious and time-consuming. As a result, you forget to do so and you lose accurate information. This article introduces the stamp feature and explains how it can make it easier to use your emails.
Why a tampon?
At the time of paper mail, the administrative staff used to place a stamp to formalize the date of receipt of a letter in the company and specify the recipients, etc. This stamp was also intended to classify the document for distribution and archiving.
The stamp in Cooperlink shares this same vision but in a digital format.
The advantage of collective intelligence
Applying a stamp to an email means automating its classification in two mouse clicks. You receive an e-mail, you indicate the space to which it refers, you apply the stamp and Cooperlink takes care of:
- of its archiving in the project (tag to convert an individual email into a collaborative resource)
- its classification in the project (labels, metadata, ...)
- of its export in format, and its attachments, in your document management system
Later when you search for information, you have access to it directly in your document management system, or in Cooperlink. You will be able to filter the information thanks to the classification you have applied.
The icing on the cake, the first user who takes care of applying a stamp does so for all the recipients of the email. Collective intelligence is therefore called upon.
You can then delete the email from your inbox. The email is well and truly saved.
Apply a stamp
In order to use the stamp feature, it is necessary to créer préalablement des modèles de tampon. Then you have to configurer vos projets to indicate which tampons you want to use.
Then you can apply your tampons from Cooperlink web app, as well as from the Outlook plugin.
